Most teams reach for a UX audit when the data shows a problem but does not explain it. Signups are fine. Trial-to-paid conversion is not. What a SaaS UX Audit Is Not
A UX audit is not a visual design critique. Whether the typography is on-brand, whether the spacing is consistent, whether the colour palette matches the guidelines — these are design quality questions, not UX audit questions.
A UX audit is not a list of things to redesign. It is a diagnostic process that produces a prioritised list of friction points, each with a hypothesis about the root cause and a recommendation for the fix.
A UX audit is not a replacement for user research. It will tell you where users encounter problems. It will not always tell you why — for that, you need interviews, session recordings, and behavioural data to supplement the structural review.
What a SaaS UX Audit Actually Covers
A well-structured SaaS UX audit examines six areas:
1. Onboarding Flow
The path from signup to first activation moment. This includes the welcome screen, setup steps, empty states, first-session prompts, and the first moment where the user is expected to do something independently.
Key questions: How many steps exist between signup and the first point of value? Which steps require decisions before the user has context? Where do users most frequently abandon the flow? What happens when a user makes a mistake during setup?
2. Core Workflow Usability
The primary workflow the product is designed to support. For a CRM, this is the deal management flow. For a project tool, it is task creation and progress tracking. For an analytics product, it is creating and reading a report.
Key questions: Can a new user complete the core workflow without external help? Where does the flow require more than three clicks to accomplish a common action? Are error states clear enough to recover from without contacting support? Does the workflow reflect how users actually think about the task, or how engineers structured the data model?
3. Navigation and Information Architecture
How users find what they need across the product. This includes top-level navigation, in-page menus, search functionality, and the conceptual model the product presents to users.
Key questions: Are the navigation labels descriptive or abstract? Do users consistently misidentify where specific features live? Is there a consistent location for primary actions across different product sections? Does the information architecture map to the user’s mental model of the task, or to the product team’s internal categorisation?
4. Empty and Error States
The states the product enters when there is no data, when an action fails, or when the user reaches a dead end. These states are disproportionately impactful on new user activation and are almost always under-designed.
Key questions: Does every empty state explain what the section is for and give a direct call to action? Are error messages written in plain language that explains what went wrong and what to do next? Are loading states present and appropriately communicative? Does the product handle edge cases (zero results, connection errors, permission issues) gracefully?
5. Mobile and Responsive Experience
How the product behaves on smaller screens. For B2B SaaS, this is often overlooked because primary usage is desktop — but users frequently check the product on mobile, receive notifications that link back to mobile views, and share product links that others open on any device.
Key questions: Are core actions reachable on mobile without excessive scrolling? Do modals and overlays behave correctly on small screens? Is the mobile navigation clear and accessible?
6. Accessibility
Whether users with visual, motor, or cognitive differences can use the product. This is both a usability concern and a legal risk in many markets.
Key questions: Do form fields have associated labels? Is the colour contrast ratio sufficient for body text and interactive elements? Can the product be navigated by keyboard? Are focus states visible?
How to Run the Audit
Step 1: Define the scope
A full-product audit is rarely the right scope. Start with the area where the data shows the biggest drop-off. If activation is the problem, audit the onboarding flow and the first-session experience. If adoption of a specific feature is flat, audit that feature’s entry point, first-use experience, and ongoing discoverability.
Narrow scope produces more actionable findings than a comprehensive review of everything.
Step 2: Gather the baseline data
Before evaluating the product structurally, review the quantitative data:
- Funnel completion rates for the onboarding flow
- Session recordings showing common paths and abandonment points
- Support ticket themes — what users ask for help with most
- Any existing user research that describes friction in qualitative terms
The data tells you where to look. The structural review tells you what is actually wrong.
Step 3: Walk through the product as a new user
Create a fresh account. Complete the onboarding flow without skipping anything. Try to complete the core workflow without referring to documentation. Note every point where you were uncertain, confused, or required more than expected effort.

- Five to ten medium-priority improvements to schedule across the next two sprints
- A longer list of lower-priority refinements that improve the product incrementally over time
